The standard leave application format
An office leave application is a written request to your manager and HR for approved time away. You can send it as a letter, an email or an HR-portal request. The core parts stay the same.
Every application should include, in this order:
- Date of writing
- Recipient: your reporting manager, with HR in copy
- Subject line naming the leave type and dates
- Salutation: “Dear Mr./Ms. [Surname]”
- Reason, in one or two sentences
- Leave dates: first day, last day, total days and return date
- Work handover: who covers which tasks
- Address and phone number during leave
- A polite request for approval
- Signature block: name, designation, department, employee ID
Keep the body under about 120 words. Managers approve applications faster when they can read the dates and the cover plan in one glance.
Here is a general template you can adapt for any leave type:
Date: [DD Month YYYY]
To: [Manager’s name, designation]
Cc: [HR manager’s name]
Subject: [Leave type] Leave Request, [start date] to [end date]Dear [Mr./Ms. Surname],
I request [X] days of [leave type] leave from [start date] to [end date]. I will return to the office on [return date]. [One-sentence reason.]
[Colleague’s name] will cover [specific tasks] while I am away. My address during leave is [address], and you can reach me on [phone number] for urgent matters.
Please approve my leave. Thank you for your consideration.
Sincerely,
[Full name]

What the Bangladesh Labour Act requires in a leave application
The Bangladesh Labour Act, 2006 sets a few rules for how leave is requested and answered. Most templates online ignore them.
Apply in writing and state your leave address
Section 10 says a worker who wants leave of absence must apply to the employer in writing and state their address during the leave. Include that address in every application. It is a legal element of the request, and HR needs it to reach you.
Your employer has a reply deadline
The employer, or an officer the employer authorises, must issue an order within seven days of receiving your application. If that falls later than two days before your leave starts, the earlier date applies. When your leave begins on the day you apply, or within three days, the order is due on the day your employer receives the application.
Applying early therefore gets you an earlier decision. It also gives you a firm date to cite if nobody replies.
A refusal needs a reason
If your employer refuses or postpones your leave, the reasons must reach you before the date your leave would have begun. If the leave is granted, you should receive a leave pass. Keep both the application and the reply for your records.
Check whether the Act covers you
The Act covers private-sector employment. Government organisations follow their own service rules and official forms, covered in the government section below. If you work in a managerial or supervisory role, confirm with HR whether your leave entitlements come from the Act or from your contract.
Leave application formats by leave type
Each leave type has its own legal basis, notice habits and attachments. This table gives the quick version. The templates below it follow the same order.
| Leave type | Legal basis | Entitlement | Suggested notice | Attach |
|---|---|---|---|---|
| Casual | Labour Act, s.115 | 10 days per calendar year, full wages, no carry-forward | Same day or as early as possible | Usually nothing |
| Sick | Labour Act | 14 days per year, full wages | As soon as you know | Certificate from a registered medical practitioner |
| Earned (annual) | Labour Act, s.117 | One day for every 18 days worked after one year of service (shops, commercial and industrial establishments, factories) | One to two weeks | Nothing |
| Marriage | Company policy | Varies by employer | At least one week | Invitation card, if asked |
| Maternity | Labour Act, amended 2023 | 120 days | As early as possible | Doctor’s certificate |
| Paternity | No statutory provision reported | Company policy | As early as possible | Birth confirmation, if asked |
“Suggested notice” reflects common office practice, not a legal requirement. Your employer’s leave policy can set stricter or more generous terms than the Act, but not fewer benefits than the Act guarantees.
Casual leave application format
Casual leave covers short, unplanned personal matters. The Act gives you 10 days a year with full wages, and unused days do not carry into the next year. Keep the reason brief.
Sick leave application format
The Act gives you 14 days of sick leave a year with full wages. It allows this leave only after a registered medical practitioner has examined you, so attach the certificate. State the condition in a few words and skip the medical detail.
Earned leave (annual leave) application format
Earned leave is planned time off that builds up with service. State your balance in the application so HR can check it against their record. Discuss long leave with your manager before you send the written request.
Marriage leave application format
The Act’s leave provisions cover casual, sick and annual leave plus maternity benefit. Marriage leave is a company policy matter. Read your policy first to see whether it is paid, unpaid or deducted from another balance.
Maternity leave application format
Parliament passed the Bangladesh Labour (Amendment) Bill, 2023 to raise maternity leave from 112 days (16 weeks) to 120 days. Under the amendment, you can take the leave before or after delivery as it suits you. Older guides still describe 16 weeks split eight and eight, so check the date on any template you find.
Section 47 lets you notify your employer, orally or in writing, when you expect delivery within eight weeks. A written notice leaves a clear record.
Paternity leave application format
Reports indicate the Act does not require paternity leave, so your employer’s policy decides. Apply as early as you can and attach birth confirmation if HR asks.
Emergency, one-day and half-day leave formats
Emergency leave. Phone your manager first. Then send a short written note the same day, and follow with a full application within 24 hours.

Frequently asked questions
Can I apply for leave by email?
Email is a written form, and most Bangladesh offices accept it for leave requests. Confirm in your leave policy, and keep a copy of the sent message and the reply.
How far in advance should I apply?
Your employer’s reply deadline runs from the date it receives your application, so earlier applications get earlier answers. As a working rule, apply at least a week ahead for planned leave and one to two weeks ahead for long or earned leave.
What if my manager does not reply?
Follow up after one to two working days. Cite your original request, your leave start date and the Labour Act’s reply timeline.
Can I submit a sick leave application after I return?
Tell your manager the same day by phone or message. Then send the written application and medical certificate as soon as you can. Check your company policy for any deadline.
Should I write in English or Bangla?
Follow your company’s practice. Private-sector offices often work in English, while government offices and some local organisations expect Bangla.
Send complete requests every time
Pick the format that matches your leave type, fill in the brackets, and send it with your leave address and a named cover colleague. HR teams that want every request to arrive complete can build these same fields into a leave form or HR system.
