🎉 Now includes Field Attendance (GPS-based) for remote teams.

Employee Management System

Field Attendance System
for Bangladesh Businesses

Thus field attendance system records where employees are when they check in, not just when. GPS-stamped mobile punch-in, geofencing that rejects check-ins outside an assigned zone, and offline sync for areas with weak signal.

HRMS BD gives Bangladesh companies with sales teams, NGO field officers, delivery staff, and site workers the same attendance accuracy that a biometric device gives an office.

Core Features

Attendance That Works Where Your Employees Actually Are

A biometric device works when employees come to an office. Field attendance works when employees never do. HRMS BD covers both in the same system so payroll does not run on two separate sets of records.

GPS-Stamped Mobile Punch-In

Employees open the HRMS BD mobile app and check in from wherever they are. Every check-in records an exact GPS coordinate and timestamp. The manager dashboard shows where each field employee punched in on a map, not just that they punched in. A sales rep who checked in from home instead of their territory shows up immediately.

Geofencing — Check-In Only at the Assigned Location

HR or the operations manager defines a geofence around each work zone: a sales territory, a client site, a delivery route, or an NGO programme area. An employee’s check-in only registers if their GPS position falls inside the configured boundary. A check-in attempt from outside the zone is flagged or rejected, depending on how the rule is set.

Offline Mode with Automatic Sync

Signal coverage across Bangladesh is uneven. Sylhet hill districts, Haor areas, and many rural locations have stretches of weak or no connectivity. HRMS BD stores punch records on the device when there is no internet and syncs them automatically when the connection returns. Field officers working in flood-prone areas or remote upazillas do not produce attendance gaps because of a network problem.

Real-Time Manager Dashboard

Managers see every field employee’s current check-in status on a live map without calling them. Who is checked in, where, at what time, and whether the check-in was inside the assigned zone. If two employees were supposed to be at different territories and both GPS coordinates show the same location, the dashboard shows it before the day ends.

Direct Payroll Feed from Field Attendance

Field attendance records feed the same payroll engine as biometric device data. Working hours, late arrivals, absences, and overtime calculate from verified GPS punch records. Finance does not receive a separate field attendance file from HR. The payroll figure for a delivery driver in Narayanganj and a sales rep in Dhaka comes from the same source: what the system actually recorded.

Out-of-Zone Alerts and Attendance Flags

When a field employee checks in from outside their assigned geofence, HRMS BD flags the record immediately. The manager sees an alert on the dashboard before the day ends. HR can configure the rule to either reject the check-in outright or allow it with a flag for review. Late check-ins, missed punch-outs, and extended gaps between check-ins are flagged the same way so attendance exceptions surface automatically rather than being caught during month-end payroll review.

Benefits

What HR, Operations, and Field Employees Actually Get

HR and Operations Teams

Ghost visits stop being a payroll problem you discover at month end

A Dhaka-based FMCG distributor found that 30% of reported field visits had not actually happened. The sales reps were sending WhatsApp check-ins from home, copying the previous day’s visit notes, and filing daily reports that described client interactions that never took place. The manager had no way to verify any of it until someone raised a flag during a territory review.

This is not an unusual situation in Bangladesh field operations. Manual check-in methods, whether phone calls, WhatsApp, or signed visit cards, all have one thing in common: the employee controls the record. GPS geofencing transfers that control to the system. The check-in only happens inside the zone. The timestamp is automatic. By the time payroll runs, every field attendance record has a coordinate and a time behind it, not a WhatsApp message someone sent from their house.

Field Employees

Employees get credit for every hour they actually worked

The other side of the ghost visit problem is the employee who did work and was not credited fairly. A delivery driver who covered 40 km in a day and returned to base at 7 PM should not have their overtime questioned because a paper log went missing or a supervisor forgot to submit the attendance form.

In HRMS BD, the GPS record is the attendance record. The driver’s check-in at the depot, check-outs at each delivery point, and final check-in at return are all timestamped and stored. Their working hours, overtime, and route are documented without depending on anyone to fill in a form correctly. When payslip time comes, the field employee can see the same record the payroll calculation used.

Mobile Apps

No Hardware to Install. The App Runs on Their Existing Phone.

HRMS BD field attendance requires no dedicated hardware. No device to install at a site. No special phone to purchase. Employees use their own Android phone, open the HRMS BD app, and check in. The GPS coordinates and timestamp are captured in one tap.

Managers monitor live field attendance from their own phone or desktop. The live map, geofence alerts, and individual employee check-in status update in real time. An operations manager in a Dhaka office sees the same live field view as someone sitting at a desktop, with no delay.

Why It Matters

What Actually Changes When Field Attendance Runs Through HRMS BD

Most Bangladesh companies with field teams manage attendance through WhatsApp, phone calls, and paper forms. By the time that gets to payroll at month end, someone has translated it into a number. The translation is where the errors live.

The payroll record and the field record are the same record

When a delivery driver’s GPS check-ins are the source of their working hours, there is no second step where HR translates a WhatsApp message into a payroll figure. The same data that proves presence is the data that calculates pay. Field staff payroll disputes almost always start with a disagreement between what the employee says they did and what HR has on record. When both sides are looking at the same GPS log, that particular argument does not happen.

Territory managers stop managing by gut feel

A territory manager who can see a live map of which reps are checked in, where, and whether they are inside their assigned zones is making different decisions than one who is reading evening WhatsApp reports. A rep who finishes their route early can be reassigned to a nearby uncovered outlet the same day. One who has been stationary for two hours can receive a call before the situation becomes a performance issue.

Multi-city field teams stop running on honour system

Companies managing sales teams across Dhaka, Chattogram, Sylhet, and district towns from a single head office cannot personally supervise any of them. For years the answer to this has been trusting the reported data. GPS geofencing is the first method that separates the attendance record from what the employee chooses to say. The record comes from the coordinate, not the report.

Getting Started

Field Attendance Active for Your Whole Team in Under 1 Day

Setting up field attendance in HRMS BD does not require any hardware procurement, device installation, or IT involvement.

1

Contact the HRMS BD team

Tell us how many field employees you have, which cities or territories they cover, and whether you need geofencing or GPS-only tracking. We confirm the setup and send access the same day.

2

Define geofences for each zone

Our team sets up the geographic boundaries for each sales territory, delivery zone, client site, or NGO programme area. Most companies configure their zones in under an hour using a map interface.

3

Enrol employees in the app

Field employees download the HRMS BD app on their Android phone and log in with their employee credentials. Takes about two minutes each and does not require coming to a head office to do it.

4

Set attendance rules

Configure whether geofence violations reject the check-in or flag it for review, how out-of-zone alerts reach managers, and how offline records sync. Rules apply per employee group so delivery staff and sales reps can have different configurations.

5

Go live

Field employees start checking in from the app. Managers see live attendance on the dashboard. GPS records feed attendance and payroll from the first day without any separate process.

Watch Field Attendance in Action

The demo video shows a field employee checking in from a sales territory on their phone, the GPS coordinate appearing on the manager’s live map, a geofence alert when a second employee checks in from outside their zone, and the attendance record feeding payroll at month end. Full walkthrough under five minutes.

What is a field attendance system?

This is a mobile-based attendance system that logs where people are when they sign in – not just that they signed in. In fact, biometric devices at the workplace are not relevant for field staff, who never report to a fixed office. A field attendance system with GPS coordinates, geofencing, and selfie verification enables the same tamper-resistant attendance record from a phone it produces from a terminal on a fingerprint device.

The Employee opens EasyKaj app provided by HRMS BD on his Android phone and clicks on check-in. The app records their GPS coordinates at that moment, takes a timestamp and snaps a selfie for verification. If geofencing is set, the check-in only registers if the GPS position is within the defined area. The record contains the coordinate data, timestamp, and selfie taken, and syncs immediately to the HRMS BD system if there is connectivity (or stays on the device and syncs when connection is restored).

A geofence sets up a virtual perimeter around a delineated space such as a sales territory, a client site, an NGO programme village, or a construction project boundary. The geofencing feature in HRMS BD allows the employee to check-in when his or her GPS location goes off the boundary. An employee checks in from home or from outside the employee’s assigned territory, getting rejected or alerting the manager. Ghost visits — which happen when an employee calls in representing someone who has not entered — require that the employee to be inside the zone to stop the logging.

GPS Check-in Registers from field employees go on the same attendance module that biometric device data from office go on. Working hours are based on calculating between the first check-in and the last check-out for the day. Overtime if hours calculated exceed shift length configured on employee record Absence flags come into force if you do not get checked in. All this feeds to the payroll run at month end without a separate attendance file from the field ops team.

Yes. One HRMS BD dashboard controls all the field attendance of one of the companies, that has sales reps in Dhaka, Chattogram, Sylhet, Rajshahi, and Khulna. Geofences are configured on a city or territory basis. A glance for the manager, every employee is visible on a single live map, arranged according to the city or territory. Payroll (one run) combines all field workforce from all locations (never a separate attendance file from each city to combine).
